01 / Project in focus

From business need to dependable outcome.

01

Challenge

Millmead needed a more structured way to manage property agreements and the changes that happen during a tenancy. The work needed to make key actions, including ending tenancies and reviewing rents, easier to record and follow, while helping ensure important notifications were not overlooked.

02

Approach

PG Technologies shaped the system around the operational stages of property management rather than isolated features. Agreement creation and editing were brought into a more consistent process, tenancy endings were handled with clearer dates and responsibility, and rent review information was surfaced through a dashboard and weekly email notification. Access request handling was also refined to support controlled administration.

03

Outcome

The resulting system gives Millmead a clearer operational view of agreement activity, tenancy changes and upcoming rent reviews. By bringing these responsibilities into a more consistent workflow, the work is intended to make routine administration easier to follow and reduce the risk of important actions being missed.

How the work came together.

Managing property agreements involves more than storing information. Tenancies change, agreements need updating, and rent reviews must be visible at the right time. For Millmead, PG Technologies developed a property management system focused on making these operational responsibilities clearer and easier to manage.

The challenge

Property management work depends on accurate records and timely action. Agreement details may change as a tenancy progresses, while ending a tenancy or preparing for a rent review requires the right information to be captured and followed through.

Millmead needed a more structured approach to these activities. The system had to support clearer agreement management, provide a reliable way to record tenancy changes and make upcoming rent reviews easier to identify. It also needed to support the handling of access requests without adding unnecessary uncertainty to day-to-day administration.

The challenge was therefore not simply to add individual functions. It was to create a more coherent operational process around the information that property teams need to maintain and act on.

The approach

PG Technologies focused on the points in the property management process where clarity and timing matter most.

Agreement creation and editing were brought into a more consistent workflow, helping information to be managed in a standard way rather than through disconnected steps. The system was also adapted to reflect the practical details involved when a tenancy ends, including the relevant dates and responsibility for the change. This gives the record a clearer account of what has happened and when.

Rent reviews were treated as an ongoing operational responsibility rather than a detail that could remain hidden in an agreement record. A dashboard notification panel and a weekly email notification were introduced so that review activity could be surfaced in the normal course of managing the system. This supports earlier awareness of actions that may need attention.

Access request handling was refined alongside the agreement work. That helped align administrative control with the wider process, so that the system could better support how information and responsibilities are managed.

The work was shaped through successive improvements to the existing property management process. This allowed PG Technologies to address practical points of friction while keeping the focus on clearer records, more visible actions and easier administration.

The outcome

Millmead now has a more coherent basis for managing agreements, tenancy changes and rent review activity. The system brings these responsibilities into a clearer operational flow, making it easier to understand what has changed and what may require attention.

The dashboard and weekly email notification provide two practical ways to maintain visibility of rent reviews. Clearer handling of tenancy endings gives important dates and responsibility a more defined place in the record. More consistent agreement management helps reduce ambiguity when information is created or updated.

These improvements are intended to make routine property administration easier to follow and less dependent on individuals remembering which action is due next. They also provide a stronger foundation for managing change over the life of an agreement, while keeping access requests within a controlled process.

For Millmead, the value of the work lies in turning recurring property management responsibilities into a clearer, more dependable workflow. The system is designed to help people see the right information at the right point and act with greater confidence.
